Guidelines

NYC Neuromodulation Online 2020 will be a virtual self-organized and self-managed meeting spanning 3 days. From April 20th at 9 AM (ET) to April 22 9 PM (ET). Organizers can suggest a session by filling out the form below and following these guidelines:

• Each organizer will have to create (or access) their own Zoom account for their session. Each organizer will need to initiate and manage all aspects of their session using Zoom without technical support from the conference. We have decided to use only Zoom for the conference to create a seamless experience for attendees. In a sense, your Zoom account is a “room” you manage.
• Note, the free Zoom account limits organizers to a 40 minute long session with 3 or more attendees, so we suggest with a free account you set a limit to 30 minutes. A paid account allows for up to 100 participants with unlimited time, and we again suggest you limit attendance to a few less than the maximum allowed. The Zoom ID used does NOT need to belong to the chair. For example it can belong to a student or administrator who will assist you in running the meeting. • You should open the meeting at least 5 minutes before the session starts and all speakers should be online by then to conduct a connectivity check. If you or the person running your meeting is not familiar with Zoom, conduct a practice and attend other Zoom meetings to learn best practices. You can also watch these videos.
• Organizers determine the timing and duration of a session (must be at least 30 mins and at most 3 hours.)

• All the information you provide below will be made available on the conference website to potential attendees of your session. The only information that will not be made publicity available is the main organizer contact Email and the Zoom meeting ID. The Zoom meeting ID will be made available only to individuals who register for your session. The Zoom meeting ID will be shared by the conference system. Note if you choose to optionally provide contact information (eg email) in the session description, you can.
• You can submit as many sessions as you want. You can use the same Zoom account (“room”) for multiple sessions as long as they are not concurrent, or use different Zoom accounts.
• Before submitting your form, you'll need to set up Zoom so you can provide us with a link when you set up your session.
• All the information you enter for you session can be updated at any time by emailing conference@neuromodec.com. So enter you session early and feel free to update it.
• The conference runs continuously from the start to end time. On the conference website session start end time will be indicated in both ET and GMT.
• Scientists of any level are encouraged to submit and run sessions. Session are reviewed by the Scientific Program Committee only for general adherence to scientific conference standards. We encourage innovative formats including sessions devoted to a particular group (e.g. graduate student), sessions that are only discussion (e.g. a session with a small number of allowed attendees), sessions that review work from a given lab (e.g. a public lab meeting).
• Sessions can be organized by industry.
• The conference will not charge registration and no session can charge registration. You are welcome to receive sponsors for your own sessions if you prefer.
• You can choose to limit attendees by categories (e.g. MDs only, PhD candidates only). This should be spelled out in your meeting description.
• You can see here for the listing of current session for ideas about both what kind of content you might include and what times you might select. Concurrent sessions are possible.
• Ultimately we cannot control who attends these sessions. You should be prepared to mute or remove disruptive attendees.
