Terms of Use & Housing Agreement

1. General Overview
The 2026 NYC Neuromodulation Conference ("Conference") has partnered with The Towers at The City College of New York ("Venue" or "The Towers") to facilitate convenient, on-campus housing for conference attendees. By booking housing through this portal, you ("Guest") agree to the terms and conditions outlined below.
2. Nature of Accommodation
Guest acknowledges that the accommodation provided is a University Dormitory, not a hotel.
- Amenities: Services such as daily housekeeping, room service, concierge, and toiletries are not provided.
- Facilities: Kitchens include a refrigerator and stove but do not include cookware or utensils. Bathrooms are shared within the suite.
- University Policies: Guests must adhere to all rules and regulations of The Towers at CCNY, including noise ordinances, smoking bans (this is a smoke-free campus), and guest policies.
3. Booking Types & Assignments
A. Individual Room Bookings
- Assignment: Guests booking a "Single Room" will be assigned a private, lockable bedroom within a shared 4-bedroom suite.
- Roommates: The Conference will assign roommates based on gender provided at booking. Guests understand they will share common areas with other conference attendees.
- Room Consolidation: The Conference reserves the right to consolidate rooms or move guests to comparable accommodations to optimize suite occupancy.
B. Full Suite Buyouts
- Assignment: The booking party reserves the entire unit (2-bedroom or 4-bedroom suite).
- Occupancy: The booking party is responsible for the behavior of all guests staying in the suite.
- Guest List: A full list of occupants must be submitted by July 15, 2026.
4. Payment & Refund Policy
- Payment: Full payment is required at the time of booking.
- Non-Refundable: All bookings are 100% non-refundable. No refunds will be issued for cancellations or no-shows under any circumstances.
- Transferability: Bookings may be transferred to another registered attendee via contact@neuromodec.org by July 15, 2026.
5. Liability & Indemnification
The Conference acts solely as an intermediary. The Conference is not responsible for loss, theft, or damage to personal property; personal injury; or service disruptions managed by The Towers (including WiFi, power, or HVAC).
6. Damages & Conduct
Guests are financially responsible for any damage caused to the room, suite, or common areas. The Towers reserves the right to charge for repairs. The Conference reserves the right to revoke housing privileges for disruptive behavior without refund.
7. Force Majeure & Conference Cancellation
In the event that the 2026 NYC Neuromodulation Conference is cancelled, postponed, or moved to a virtual format due to a Force Majeure event—including but not limited to acts of God, government regulations, or disasters—the following applies:
- Housing Finality: Your housing reservation is a separate contractual agreement with the Venue. Housing fees remain 100% non-refundable.
- No Liability: The Conference organizers shall not be held liable for any lodging costs or travel expenses incurred.
